Redact a document without removing the context AI needs

Good redaction preserves the logic of a task, not the identity of its participants. Practise with this synthetic contract and replacement-key worksheet.

Replace identifiers consistently while preserving the relationships the task depends on. If permission to disclose the underlying material is unresolved, use a wholly synthetic document rather than a redacted customer or private draft.

Define what the task must retain

For a clarity review, the useful context may be who owes what, when an obligation starts, and which condition triggers payment. Names, addresses, signatures, and account details are usually unnecessary for that exercise.

This is practical editorial advice: write the intended task first. “Identify ambiguous payment timing” needs different context from “simplify the tone.” Avoid stripping every number and role before deciding what the reviewer must understand. An empty skeleton can conceal the very ambiguity you wanted to examine.

Synthetic excerpt and replacement key

The following example is entirely hypothetical and contains no real parties:

“Fictional Buyer Orion commissions Fictional Supplier Lotus to deliver a training pack by 15 August. The buyer pays ₹80,000 within 15 days of acceptance. The supplier must correct reported defects within seven days.”

Create this replacement-key worksheet:

  • Fictional Buyer Orion → Buyer A: Keep the buyer role consistent in every clause.
  • Fictional Supplier Lotus → Supplier B: Preserve responsibility for delivery and corrections.
  • 15 August → Day 30: Retain a deadline while removing an unnecessary calendar anchor.
  • ₹80,000 → Fee X: Retain the payment obligation; keep an amount only if arithmetic is the task.
  • 15 days and seven days → unchanged: These intervals are essential to the timing review.

Keep any real-world replacement key outside the submitted text and within approved handling arrangements. Do not submit a key that reverses the redaction.

Evaluate whether context survived

The transformed synthetic clause should still answer four questions: who delivers, who pays, what triggers payment, and who corrects defects?

It should also preserve the unresolved issue: what counts as “acceptance”? If the rewrite replaces that term with “delivery,” it has changed the relationship rather than merely redacted it.

Check for indirect identification separately. A rare project description, exact location, and distinctive deadline may reveal more together than any single field. Removing names is not a completeness test.

Stop when substitution changes the question

Stop if redaction makes the task meaningless or leaves identifying combinations. Next, narrow the task or build a fresh fictional example; do not restore private facts simply to improve the output.

OpenAI documents that disabling “Improve the model for everyone” excludes new conversations from training while allowing them to remain in history. That is not redaction or disclosure approval.

For access comparisons, check access format and saved terms in the AI tools catalog before buying. Marketplace account, code, or token offers are not proof of official subscription equivalence.

Sources and scope

Source material checked 29 October 2026; features/policies may change. OpenAI data controls supports the narrow training/history statement. The synthetic clause, replacement worksheet, and evaluation method are editorial advice, not legal guidance.
