Create a brand-voice brief from approved style attributes and synthetic examples rather than uploading an entire client archive. Describe how the writing should sound without supplying the private history behind it.
Replace archive volume with explicit choices
As editorial practice, start with a conversation about authorised voice goals: reassuring or energetic, concise or explanatory, formal or conversational. Do not copy a person’s distinctive voice without consent or assume access to an archive means permission to submit it elsewhere.
The aim is a usable writing specification, not a reconstruction of confidential correspondence. An Indian small-business team can describe preferred English register, treatment of rupee amounts and avoidance of unexplained jargon without disclosing customer messages.
Build a minimal style-attribute worksheet
Record six attributes, each with a concrete rule:
- Reader relationship: Helpful peer, not an authority making unsupported promises.
- Sentence shape: Prefer one main idea per sentence.
- Vocabulary: Everyday English; explain necessary technical terms.
- Energy: Warm but restrained; avoid repeated exclamation marks.
- Claim discipline: State only approved product facts; no invented urgency.
- Local presentation: Use ₹ for approved rupee amounts and spell out ambiguous dates.
Add prohibited habits such as “guaranteed results”, exaggerated superlatives or invented testimonials. Ask the authorised brand reviewer whether the attributes reflect the intended voice. Keep disagreements visible rather than resolving them through more archive uploads.
Hypothetical synthetic-sample exercise
Imagine a fictional stationery brand wants a clear, friendly announcement. Approved synthetic facts are: a notebook has 160 pages, a blue cover and a fictional price of ₹120. No claim about stock, discounts or delivery is approved.
Write two original sample openings yourself:
- Too promotional: “Grab the ultimate notebook before it disappears!”
- Target direction: “Keep your everyday notes together in a blue, 160-page notebook.”
Request a short draft using the worksheet and approved facts. Score it from zero to two on clarity, warmth, restraint and factual discipline. Require full marks on factual discipline before considering stylistic polish. This is an illustrative exercise, not a measured platform test.
Check data controls and stop rules
OpenAI says personal Free, Plus and Pro workspaces have sharing for model improvement enabled by default. Turning off “Improve the model for everyone” means new conversations are not used to train models and can remain in history.
That does not establish permission to submit client archives. If the brief works only after adding private examples, stop and refine the attributes with the authorised reviewer instead.
When comparing access, check the AI tools catalog for access format and save terms before buying. Marketplace account/code/token offers do not prove official subscription equivalence.
Sources and scope
Source material checked 29 October 2026; features/policies may change. OpenAI’s data-controls documentation establishes the stated training control. The minimal worksheet and fictional stationery exercise are editorial advice, not confidentiality guarantees or legal advice.
