Check an AI-assisted rewrite by comparing what the sender is committing to before and after the edit. A message can sound more professional while accidentally promising delivery, removing an exclusion or converting an estimate into a guarantee. Approve the commitments first and the tone second.
Extract the original commitment boundaries
Before rewriting, list the actor, action, deadline, condition, exclusion and certainty level. Preserve terms such as “aim,” “subject to,” “after approval” and “excluding” unless the responsible person explicitly approves a change.
For Indian business correspondence, also clarify whether a date is a dispatch date or delivery date. Write the month in words when a numeric date could be misread. Specify a time zone only when the original commitment actually contains one or an authorised reviewer supplies it.
Audit a synthetic redacted message
This example is entirely hypothetical; the placeholders do not represent a real customer.
Original: “Dear [Customer], we aim to dispatch [Item] by 12 November after artwork approval. Delivery timing is not confirmed. The estimate excludes installation.”
Hypothetical rewrite: “Dear [Customer], your order will arrive by 12 November, with everything included.”
Use this before-and-after worksheet:
- Promise: dispatch becomes arrival. Result: reject; these are different events.
- Deadline: a conditional target becomes a fixed arrival date. Result: reject.
- Dependency: artwork approval disappears. Result: restore it.
- Exclusion: installation excluded becomes everything included. Result: reject.
- Certainty: “aim” becomes “will.” Result: obtain approval or restore uncertainty.
A safer edited version is: “Dear [Customer], subject to artwork approval, we aim to dispatch [Item] by 12 November. Delivery timing remains unconfirmed, and installation is excluded from the estimate.”
Separate readability from authority
Run two review passes. First, compare commitments word by word. Second, improve sentence length, politeness and organisation without reopening approved boundaries.
Ask: could a reasonable recipient expect more after reading the rewrite? If yes, identify who can approve that additional commitment. The editor should not infer authorisation from confident wording generated during drafting.
Protect inputs and choose the next step
Practise with synthetic messages rather than customer correspondence. OpenAI’s supplied data-controls evidence says sharing is enabled by default on personal Free, Plus and Pro workspaces. Disabling “Improve the model for everyone” prevents new conversations being used for training; they can remain in history. Review permission and handling requirements separately.
Stop sending if any promise changed without approval. Ask the accountable colleague to resolve it, or retain the original boundary. If comparing rewrite access options, the AI tools catalog lets you check access format and saved terms before buying. Marketplace account, code or token offers are not proof of official subscription equivalence.
