Verify action items in an AI-assisted meeting summary

An action item needs more than an action verb. Check its evidence, owner, acceptance and deadline before treating a meeting summary as the work plan.

Verify meeting action items against the original approved notes and obtain owner confirmation before treating the summary as an assignment. Separate decisions, suggestions and accepted work: “we could investigate” is not the same as “I will investigate by Friday.”

Classify statements before assigning work

Use three categories. A decision records an agreed outcome. A suggestion proposes something for consideration. Assigned work identifies an accepted task and its owner; a deadline should remain unknown unless it was actually agreed.

Also distinguish the person who raised an issue from the person responsible for resolving it. Attendance, seniority and speaking time are not evidence of task acceptance. If the record is ambiguous, preserve the ambiguity rather than filling a gap with a plausible name.

Use an action-confirmation register

The following explicitly hypothetical example uses synthetic meeting notes. This record-style register supplies table-like fields without requiring a markdown table.

  • Record A: “Use the smaller venue.” Type: decision. Evidence: synthetic note 08. Owner: not applicable to the decision itself. Confirmation: meeting chair to verify agreement. Missing item: any booking assignment.
  • Record B: “Maybe ask for another quotation.” Type: suggestion. Evidence: synthetic note 11. Owner: unassigned. Deadline: none. Confirmation: decide whether to commission the task.
  • Record C: “I can send the revised agenda by 4 November, 3 pm IST.” Type: proposed assigned work. Evidence: synthetic note 14, speaker [Coordinator]. Confirmation: coordinator accepts the recorded task and deadline.

Evaluate the register by counting unsupported owners, invented dates and suggestions promoted to tasks. The acceptable count is zero before distribution as an authoritative work plan.

Add a note-disclosure checkpoint

Before any AI processing, ask whether attendees were informed about the intended note-processing workflow, whether the organisation permits it and what information is necessary. This is a review checkpoint, not a legal conclusion.

Do not use real meeting notes for a trial. Create synthetic statements and omit personal, customer and confidential project material. Ask whether even the meeting title or participant-role combination could expose sensitive context.

Confirm the plan and stop on ambiguity

Send proposed assignments to their owners for confirmation through your normal approved process. Record corrections alongside the summary so an earlier version does not remain the apparent authority.

OpenAI’s supplied documentation distinguishes training from history: on personal Free, Plus and Pro workspaces, sharing is enabled by default; disabling “Improve the model for everyone” excludes new conversations from training, but they can remain in history.

Stop automatic distribution when an owner or deadline is disputed. Publish an “awaiting confirmation” note instead. If purchasing access, check the AI tools catalog for access format and saved terms. Marketplace account, code or token offers are not proof of official subscription equivalence.
